VE 135 Follow Up Data
Definition: VE 135 Follow Up Data is the reporting required by CCCS on approved CTE program enrollment from the prior year. Once the data is compiled from the CTE course, the completion data is sorted and the students who have completed a pathway within an CIP Code are placed into the active VE 135 Follow Up Data file for the next year. Thus, completion data from school year 05-06 will be come follow up data and be finalized mid year of the 06-07 school year. This continues year to year. This process is finalized online through the CCCS data reporting site by the program instructors.

Instructions for logging into the site:
1. Each school is assigned a specific log in to access their data. Your log in and password have been sent to you from the CTE Director's office with a reminder of this process. If you cannot locate this information, please contact Staci Jenks at x5204 to have it resent to you. Type your login to the User Id box and insert your password to access your program data.
2. Once you are logged into the site, you will need to access your program specific data. Choose the VE 135 Follow Up Data from the menu selection.

3. On the left side of the screen you will then see the list of programs. Click on your program name.

3. This will take you to your program specific data. As you reach the reporting page for the VE 135 Follow ups for your program, you will see a number count on the left hand side of the screen showing the total number of completers for that current year, the records that are finished, and the records that still need to be updated.

5. Below this section, you will see a link to VIEW the list of the follow up students. Click on View. A list of students’ names and identification will be provided at this point for you to view. See above.
6. To begin editing the student information, click on the Edit link next to one of the students to input data for this student and complete their follow up process.

As you can see, more information on the student is provided to you on this screen. Using the student's phone number, make at least two attempts to contact the student to gather the required information for this process. There are times when the student will still be enrolled at your school and you can contact them without a phone call.
7. Ask the student the appropriate questions to complete the follow up. See below for assistance with the questions to ask.

Note: If you are unable to contact the student after a couple of attempts, please mark them as unable to contact. Your students may also know where that student is, so you may use the information they provide you also.
You may feel free to use these questions to guide you when talking with the student/family.

Note: Hourly wage is optional and not required.
Note: Option 6 for FCS under placement no longer exists. Use 1-5.
Please keep in mind that the completion status given to the students in the VE 135 enrollment section each school year determines which students will roll over into the follow-up the next school year. Only students marked in the VE 135 enrollment as "Completers" will appear in the VE 135 follow-up the next school year. Students that are marked as "Continuing On" will roll over into the VE 135 enrollment the next school year and any students marked as "Partial Completer" or "Non Completer" will not appear in the VE 135 enrollment section the next school year. Therefore, for the 2007-2008 school year, the students that you will see listed in your VE 135 follow-up report are the students that were marked as “Completers” in the VE 135 enrollment in the 2006-2007 school year.
You must provide a code in the “Placement” field for EVERY student in the follow-up. Please try to collect data from your students for as many of the other follow-up fields as possible.
Please follow these rules for the follow-up survey:
· Placement code 4 (Unemployed - not seeking employment) can be used when the student chooses not to seek employment for any reason. The student may be ill, continuing education (secondary or postsecondary), retired, pregnant, or simply chooses not to seek employment. If the student is continuing education and not employed, use placement code 4 and choose one of the continuing education categories (1 or 2). If you know the student is continuing education, but don’t know their employment status, you should still use placement code 4 and choose one of the continuing education categories (1 or 2).
· You should only use the placement code 5 (Unknown or unable to contact) when you know nothing about the status of the student. In other words, do not mark a placement code of 5 and then mark that the student is continuing their education at the secondary level. You should instead mark the student with a placement code of 4 and mark that they are continuing their education at the secondary level.
· If a completer is in the military full time (35 or more hours per week), you should use placement code 1 (Employed related to training) and choose the employed in the military full time category.
· If a completer is involved in a supervised agricultural experience program (paid or unpaid) six months after completion of their CTE program, then you should use placement code 1 (Employed related to training).
· Placement code 6 The #6 placement code for Consumer & Family Core Skills (completers of Family and Consumer Science Core—CIP code 190000 or Teen Parent Core—CIP code 190799) will NO LONGER be used for the VE-135 follow-up. Use the placement codes 1-5 for these completers.
· ACE or MultiOccupational program completers—mark all students that have any type of employment with a placement code 1 “Employed Related to Training”.
· Average hourly wage should be reported only for persons employed full-time (>= 35 hours/week) in a job related to their CTE training. Compensation other than salary (commissions, etc.) should be included with the average hourly wage. Use 52 weeks per year when converting a gross annual salary to an average hourly wage.
Technical Support Guide
The VE-135 website is designed to work only with Internet Explorer browser. If you are experiencing technical problems with the online forms, it could be that you are using a different browser (i.e. Netscape) and should switch to Internet Explorer.
If you cannot connect to the VE-135 website, and are sure you are using Internet Explorer as your browser, then you may need to refresh your browser window. Make sure the web address (URL) in the address bar of your browser is https://ve135.cccs.edu, then click the Refresh button on your browser tool bar.
If you have previously saved the VE-135 web address (URL) in your browser Favorites and are trying to navigate to the site by selecting it from Favorites, but get a connection error, then the address may need to be updated. You should navigate to the VE-135 website and then resave it to your Favorites, replacing the old instance.
If you still cannot connect to the VE-135 website, then you can try deleting your Temporary Internet files. To do this, select “Internet Options” from the Tools menu. On the General tab, click on the “Delete Files…” button from the Temporary Internet Files center section. Put a check in the "Delete all offline content" box and then click OK. Note: This may take several minutes to complete.
8. Once you have gathered this information for the student, enter the data into the appropriate locations and click SAVE on the bottom right of the page to complete the update for this student. Move on to the next student. When you have completed all of your students, email staci.jenks@bvsd.org. Thank you for your efforts with CTE data.
